Learn how to provide notes as part of your invoice submissions.

For client safety and compliance with our payor partners, all Grow Therapy invoices must include an attached note for submission. How you document those notes depends on your provider type and when you joined the platform: therapists onboarded on or after May 5, 2025, are required to use the Grow Therapy Electronic Health Record (EHR) exclusively. Prescribers and therapists who joined before that date can continue documenting in an external EHR and attach a PDF to their invoice at submission.

Why does Grow Therapy require notes to be attached for invoice submission? - Our payor partners require us to have documentation on hand. It is part of our ongoing commitment to client safety and compliance, ensuring that all services are supported by the necessary documentation.

If I already use Grow Therapy EHR to document my sessions, do I need to make any adjustments? - No. No additional action is required if you already use the Grow EHR and its templates to record your appointment notes.

Do I have to use the Grow Therapy EHR to document my sessions? - It depends on your provider type and when you joined Grow. Therapists onboarded on or after May 5, 2025, are required to use the Grow EHR for all session documentation. Prescribers and therapists who joined before that date can continue documenting in an external EHR, but will need to attach a PDF of their notes to each invoice before submitting.

What happens if I don't have a note ready but want to submit an invoice? - You will not be able to submit an invoice until appointment documentation is attached using the invoice flow.

How do I attach notes taken outside of the Grow EHR? - Please follow the steps outlined in the section below.

What if my client needs copies of their medical records that include patient identifiers, medical codes, and provider e-signature data? - Grow Therapy's Records team must assist with these requests. The client must sign a HIPAA Authorization form, allowing Grow Therapy to release mental/behavioral health records to the requester.

Attaching outside notes


🌟 Does this apply to me? This section applies only to prescribers and therapists onboarded before May 5, 2025. If you onboarded on or after that date, you are required to document in the Grow EHR and will not see a "Skip note" option.

If you document sessions outside of the Grow EHR, you must attach a PDF of your completed note to each invoice before submitting.

Note requirements

Your note must include the following for each session:

  • Client's name

  • Client's date of birth

  • Date of service

  • CPT code

  • The exact start and stop time of service

  • Provider's name and license

  • Provider's signature with licensure credentials

  • Date and time the note was signed

Attach a note to an invoice

When submitting an invoice, you must complete your session notes. Select the Skip note button since you aren't submitting notes using the Grow EHR template.

Select Skip note from the Actions section

When you select this button, a prompt asks you to upload and submit the external notes. Please upload a PDF.
