Dashboard Calendar View

Easily revise appointments, schedule recurring sessions and block availability.

Are you looking for a one-stop shop for all things scheduling? Lucky for you, the Grow platform brings you just that! After syncing your calendar to the dashboard you'll be able to schedule/revise appointments, invoice sessions, and block time slots easily from your dashboard.


This new calendar view is found in your "Appointments" tab, found on the left hand side bar of your dashboard. From here, you'll have the option to stay in the list view or to switch over to the calendar view over on the right hand side of your screen. Additionally, you have the option to select a day, week, work week, or month view. Toggle between the options and find you personal favorite. For this demonstration, we're going to stick with the "week" view.

The Visuals

Our team has strategically added a few updates to the typical "calendar view" that you might be used to. *Think: new and improved color coding!* Below you will find a key to explain why blocks on your Grow calendar might be different colors, shapes and sizes!

Color Key:

  • Grey: "Unavailable Time"

    • This is time outside of your selected scheduling preferences. While clients see this as "unavailable" on their end, you, as the provider, have the option to schedule during these times as desired. Want to change your scheduling preferences?   • White: "Available Time"

    • This time is within your selected scheduling preferences and is listed as "available" or clients scheduling from their end. Want to change your scheduling preferences? Start by clicking the gear in the upper right hand corner, then click here to access a step-by-step guide on how to do so.

  • Yellow: "Intake Session"

    • When a client schedules with you for the first time, the session is yellow to indicate that it is an intake session.

  • Green: "Follow Up Session"

    • Any follow up session is colored coded green.

  • Red: "Conflict"

    • You may notice appointments outlined in red. This means there is a scheduling overlap that needs your attention. Continue below for some insight on rescheduling/revising appointment times.

  • Blue: "Synced Calendar Event"

    • All events listed on your synced calendar are listed as generic "synced calendar events". This will block available time for clients and also notifies you that you might have another event at this time. Below you will see how the events from my synced calendar are transferred to my Grow calendar to allow for seamless scheduling.

Scheduling Ins and Outs

From the ease of your calendar view you can schedule new appointments, edit appointment times/session lengths, reschedule and delete recurring session. Below is a breakdown of how you can utilize these features to simplify your scheduling/rescheduling experience.

Scheduling Sessions

Use the "Add" button at the top of your page to schedule a session with a client on your client list. From here, a window will appear to begin the scheduling process.

  1. Select the date and time of the session.

  2. Is this a recurring session? If so, select how often you'd like this event to occur.

    1. "every 1 week 4 times" means that for the next 4 weeks you will have a session at this time on this week day. (ie. the next 4 Thursdays I will meet with this client at the selected time).

    2. If this is just a stand alone appointment (not recurring), you'll use the drop down menu (click the arrow beside "Repeats"). This will allow you to select "Does not repeat".

    3. Do you want this session to repeat indefinitely? Check the box next to this option (found just under the word "Repeats").

  3. Select the client you're scheduling. Keep in mind you will only be able to schedule clients who are currently found on your client list. If they're not on your client list yet, you'll want to get them set up on the Grow platform. Here is an article that walks you through this process.

  4. Finally, select whether this is a virtual or in office session.

  5. Click "Submit"!

    1. Both you and the client will receive a confirmation email with the appointment details.

Rescheduling and Cancelling

Need to make adjustments? Quickly and easily adjust individual and recurring sessions right from your dashboard.

To reschedule a session, click the appointment listing on your calendar. A window will appear on the right hand side of your screen asking you if you'd like to "edit" or "cancel" the session.

If you select to "edit", a window will appear with appointment details prompting you to select the new date and time. If this is a recurring session, a window will appear asking if you'd like to update just this one session or if you'd like to update all the recurring sessions following as well. Once saved, both you and the client will receive a notification email that the appointment has been adjusted.

Similarly, if you select to "cancel" you'll be given the option, if applicable, to delete all following sessions or just this one event.

Revising Start/End Time

Additionally, you are able to revise session times by clicking and dragging the top/bottom of the event box in your calendar. Please note that when you hover over the event you'll notice small lines that appear on both the top and bottom of the event box - these are your "drag line" that allow you to manipulate the session. By dragging the top, you revise the start time while dragging the bottom will edit the end time. Just as before, and updates to the session date or time are communicated with the client via email!

Blocking Time

Are you looking to block some time of your availability? Maybe you want a lunch break or you just need to block some time to ensure clients don't double book you. Follow the steps below to learn how to schedule busy blocks from your Grow calendar.

Click within the calendar on the date/time you'd like to block. A window will appear asking if you'd like to schedule an appointment or set unavailability.

  1. Click "set unavailability" up at the top to begin setting you busy block.

  2. Select the date/time you're wishing to block.

  3. Does this block repeat? The default option will have this event repeat every week on this date 4 times. You can edit this using the drop down menus for each option.

    1. You can also click the arrow beside "Repeats" to select that this event "Does not repeat".

    2. Click the box below "Repeats" to select that the event should occur indefinitely. This is a great option for lunch breaks that may occur on the same day at the same time.
