Block times using your Grow calendar

Learn how to block specific times on your Grow calendar to prevent client bookings without changing your overall scheduling preferences.

Your scheduling preferences determine your availability, but you can easily block recurring events like lunch or one-off events, such as days off or holidays, in your Grow calendar settings to prevent client bookings during those times.


Before you begin


You must sync an external calendar with Grow Therapy to create your provider profile. However, if you prefer to customize your schedule from your Grow Therapy calendar, you can manage your availability and create blocks of unavailability. Clients do not have visibility into your events; they will only see what times you are available for appointments.


Block time with unavailability


You must create blocks of unavailability to indicate times you are not available and do not want clients booking appointments during your established office hours. You can establish blocks for one-time events such as personal appointments, recurring events like daily lunches, or out-of-office periods such as vacations.

One-off events

To create a block of unavailability for a one-off event:

  • Log in to your Provider Portal

  • Navigate to Appointments via the sidebar and toggle to Calendar view.

  • Select the time you'd like to block directly on your calendar. Alternatively, select + Add > Unavailability in the upper right.

  • In the pop-up menu, select the Set Unavailability tab. Next, give the block an optional title, confirm the date and time, and ensure 'Does not repeat' is selected from the drop-down menu. Finally, select Submit.


The event should now populate as a grey block of unavailability on your calendar. Clients cannot book within this timeframe.

All-day and multi-day events

To create an all-day event, complete the steps outlined above and check the box next to the "All day" indicator below the event's date. It's helpful to include an out-of-office message. If a client messages you while you are out of office, they will receive this automated message. If you leave this input empty, no message will be sent.


Edit a block of unavailability


To edit a block of unavailability:

  • Visit your calendar.

  • Select the block of unavailability.

  • Select Edit in the pop-out menu. Make the necessary adjustments and select Save Changes.

Remove a block of unavailability


To remove a block of unavailability:

  • Visit your calendar.

  • Select the block you need to remove to view its details.

  • Select Remove from calendar in the pop-out menu.

Preview your calendar


You are strongly encouraged to review your calendar before leaving the office to ensure that any adjustments are reflected in the correct time blocks. The Preview Calendar feature lets you see your calendar without accessing an additional link. You can find this feature in the Scheduling section of your profile settings, where you set your availability for client appointments.

  • Select your name in the bottom left corner, and click Edit Profile.

  • Select the Scheduling option from the "Appointments" submenu.

  • Scroll to the bottom of the page and select Preview Calendar.

  • A preview of your calendar will appear, as seen below.

  • Any times blocked off with a synced calendar event will be greyed out, and hovering over this event will show the "You have a synced event from an external calendar at this time" message.

  • You can use the drop-down menu(s) to view how various appointment types and locations are displayed.
