Refer a client to another Grow Therapy provider

Learn how to refer current clients to other Grow Therapy providers using your provider portal.

Some clients may be better served by another provider due to factors such as insurance coverage, specialty, therapeutic approach, or access to prescriptions. The Grow Therapy referral process enables you to manage these transitions within your provider portal, where you can create, send, and track provider referrals.

After submitting an intake invoice, you'll be prompted to schedule a follow-up appointment or refer the client. If you've determined it's best to refer the client to another Grow Therapy provider, select the Refer Client button. Follow the prompts to complete the required information.

If you do not schedule a follow-up appointment within a week of submitting your claim, you will receive a task to refer the client on your Dashboard. Additionally, the client associated with the referral recommendation will have a "Referral Recommended" status in your client list.

⚠️ Note: Using the in-portal referral feature does not remove clients from your client list. You can still send the client additional referrals while indicating that you intend to continue providing care. You must initiate the discharge process to remove a client from your list.

All providers must complete the same form when offering Grow Therapy referrals to clients, regardless of the situation requiring the referral. This includes referrals for dual care, typically involving two providers—one for medication management and another for talk therapy—and referrals made when discontinuing services.

Providers can refer clients for medication management while they continue therapy. Clients stay in their current caseload, and the referral process does not automatically assign them to a new provider.

To recommend another provider to a client from your client list:

  • Click here or select Clients from the sidebar navigation.

🌟 Use the various tabs to locate the client you want to provide referrals to. For example, the All Active and Action Needed tabs allow you to quickly sort and identify clients with the "Referral Recommended" status.

  • In the client listing, select the Refer client quick-action button for those with a "Recommendation Needed" status. Alternatively, select the ellipsis (...) dropdown menu and select "Refer to prescribers" or "Refer to new talk therapist."

  • After entering the recommendations workflow, choose whether to continue or stop care with the client. If you're not the best fit, select "Stop seeing [client name]" and pick a reason for referring them to another Grow Therapy provider.

  • Choosing "Continue care for [client name]" means you'll continue to see the client and may recommend medication management or other specialties that you don't offer, including a higher level of care.

Customize recommendations


When you refer a client through your provider portal, you can review and personalize the recommendations before they are sent to the client. After filling out the preferences form based on the client's needs, you can manually modify the list of recommendations if needed by adding or removing provider profiles.

To add or remove a recommendation from the list, select the checkbox field above the provider's profile photo. To remove all recommendations, click "Clear selections" from the left-side menu.

🌟 Only three providers can be recommended at a time. If you're unable to check a provider's name, remove a recommendation from the list first.

🌟 If you have a specific provider in mind, you can manually add them to your list of recommendations. You'll need their booking link or Grow Therapy profile URL to complete this step.

  • Select Add Manually from the left side menu

Addressing insurance and availability limitations

Not all insurance plans are supported for medication referrals (e.g., Grow Therapy prescribers cannot accept Kaiser). If no providers appear, consider advising the client to consult their insurer's provider directory for external options.

After finalizing your recommendations, you can elect to add a note to the provider(s). This note will only be sent to the provider the client chooses to book with. Select "Share my email with this provider" to offer the provider the opportunity to contact you for care coordination. For medication management, include a note detailing the client's therapeutic progress to help set expectations and facilitate smoother collaboration.

Providing a referral

When you provide clients with a list of referrals, the client receives an email containing the recommendations you reviewed or curated. This email includes your personalized message and displays the matching providers' links to book a session. Depending on your notification settings, you can choose to receive a follow-up email when a client schedules an appointment with one of your recommendations.

Alternatively, you can track the referral's status in the client's chart by reviewing the "Timeline" section in the Overview tab, as seen below. Select the referral status to bring up a preview of your recommendations.

When a client books an intake with you based on a referral from another Grow Therapy provider, you will receive an email outlining the details of the client's needs and a note from the referring provider. If the provider has elected to share their contact information for coordinating care, it will be available in the client's chart.

To locate the referring provider's email address and coordinate care:

  • Click here or navigate to Clients via the sidebar.

  • Search for and select the client's name to display their chart.

  • Ensure the Overview tab is selected, locate the "Timeline" section, and select the referral details, as seen below.

Once you complete the in-portal referral process, clients will receive an email with the subject line "View recommendations from [provider full name]." This email lists your recommendations along with a direct link to view their profile.


Clients can also access their referral recommendations directly in their client portal, located in the "My tasks" section of their Dashboard. In addition to the email, a copy of the message will also be available in the Messages section of their client portal.
